Created by Saatchi &amp; Saatchi in Stockholm, and supported by production company B-Reel. A specially built glass box in Stockholm Central Station let passers-by watch as clothes hung on a washing line, only to be fired at with ketchup, drinking chocolate and jam in real time thanks to a cleverly created Facebook app. With designer garments as the targets, the challenge was to hit them as they swished in front of the robot. The event was a store takeover of the flagship Carphone Warehouse on London&#8217;s Oxford Street and it&#8217;s fair to say Samsung completely owned the store for the day. The focus of the day was around the lunchtime period when customers visiting the store had the opportunity to win a share of an amazing £10,000 of Samsung products including the new Samsung Galaxy Note itself, through to laptops, washing machines and even a 46&#8243; LED 3D TV. With the event promoted on Capital Radio, in the Metro and Evening Standard as well as the usual social networking sites, the queues outside the store were long and full of expectant consumers all keen to get their hands on the latest device from Samsung and have a chance to win some of those amazing prizes.</p>

A number of our staff have now worked on different Samsung campaigns and are becoming increasingly familiar with communicating about the Samsung brand and their products&#8221;. Purity&#8217;s involvement in this particular event came in the form of the supply of Brand Ambassadors, a DJ throughout the day, mixologists who prepared non-alcoholic cocktails and the supply of canapes for visitors to the store. Purity also provided three caricaturists for the event who actually drew free caricatures of members of the public on the Samsung Galaxy Note device and then emailed them on when finished. This added feature proved extremely popular and most people visiting the store took the opportunity to have their caricature drawn through these slightly unusual means.</p>

Selsdon Park in Surrey was the location for the conference providing good access for speakers and delegates flying in from overseas. Before the formalities began a golf day was organised by ARINC on the championship golf course at the venue, this was followed by a welcome reception to allow all guests to relax and meet some of the sponsors in the technology showcase. Paul Humphries, Marketing Manager at ARINC comments, &#8220;Converge &amp; ENGAGE continues to be the main conference in our annual event calendar. It&#8217;s our opportunity to bring key figures from across the aviation industry together and also engage on a very personal level with our customers. This has proved to be as successful, if not more so than previous years and we have been delighted with the number of delegates that have attended and the feedback that we&#8217;ve subsequently received from them. Purity have played an integral role in working closely with us to deliver all aspects of the event&#8221;.</p>

The following day was a customer focused day with the keynote delivered by the travel journalist Simon Calder, who brought his own unique style and many years of experience to a highly enjoyable presentation. Guests were treated to a Gala Dinner at the end of the first day with entertainment provided by Sirens Encore. Rob Quinn from Purity said, &#8220;We continue to place great value on the relationship Purity has with ARINC and were extremely pleased to have been appointed to support the business once again for the conference this year&#8221;.</p>

We like this piece of innovation and brands (including French Connection, Sony Music &amp; Samsung) that have &#8220;Goggle-enabled&#8221; their outdoor ads will allow users with the Goggle app on their iPhone or Android device to access extra content online by taking a picture of the campaign. Taking over the flagship PC World store on London’s Tottenham Court Road the launch event transformed the store for the evening event that saw flair mixologists, a DJ and hostesses welcome industry VIP’s and members of public to the launch. With people queuing throughout the day to be the first to get their hands on the new Samsung device, the air of expectation built leading up to the official product launch time. Samsung also ran a prize draw throughout night with a number of lucky winners walking away with some superb Samsung products to include a Samsung Smart TV, Samsung Galaxy Tab 10.1 and Samsung Galaxy SII phones.  </p>
<p style="text-align: justify;">Kat Bazalova from Cheil said, “This was a really high profile event for the business and we were really pleased with how everything ran. The programme was launched in 2008 and is now sold to over 175 territories around the world and is available in over 26 languages. St Pancras was chosen by the client to capture pre-school children before they boarded the Eurostar for Disneyland Paris. Purity designed and produced the stand, and recruited the team working on the event. Visitors to the stand had the opportunity to play with plenty of new Chuggington toys on display or watch the latest episodes of Chuggington. There was also the opportunity for mini-Chuggers to take away their own passport with photos taken and printed at the stand. All visitors to the stand also received a superb goody bag crammed full of Chuggington merchandise.</p>

We knew the show had gained a big following but didn&#8217;t fully appreciate how popular the brand was. However, it was very clear just how instantly recognisable Chuggington was to every child who came past the experience throughout the event. It’s been great fun for the team working on the stand to talk to parents and children about their own, personal Chuggington knowledge and favourite characters. The passports and goody bags have been really well received and we know that children have left for their journeys with plenty to keep them occupied.”</p>

<h5>Deadlines</h5>
<p>It’s a well known fact that without deadlines people will always leave things until the last minute. With deadlines in place this is not the case. These deadlines must be realistic and communicated a number of times to ensure all parties are aware. Deadlines are put in place because you require information to complete a number of other tasks. You will always have people that will not meet a deadline, manage these as proactively as possible and your workload will not suffer.</p>

<h5>No delegates, No conference</h5>
<p>Building a relationship with as many delegates as possible prior to and during the conference will make your event much easier to manage.  Identify any VIP’s and ensure they are dealt with in the correct way. Always be vigilant not to make any other attendees feel unimportant. They have taken time out of their busy schedules to attend this conference – make sure it was worth their time otherwise your numbers will deplete at the next conference. Remember without delegates you don’t have a conference to run!</p>

<h5>Planning</h5>
<p><a href="http://www.purityproductions.co.uk/2011/06/charlie-says-this-is-how-to-deliver-conferences/arinc__claridges_0015-2/" rel="attachment wp-att-1260"><img src="http://www.purityproductions.co.uk/wp/wp-content/uploads/2011/06/Arinc__Claridges_0015-420x284.jpg" alt="" title="Conferences by Purity" width="420" height="284" class="alignleft size-medium wp-image-1260" /></a>The right amount of planning before the event will create confidence on the day. By the first hour, of the first day of the conference you must have all procedures in place to manage the day’s activities. These procedures should include, but not be limited to, delegate registration, signage, venue management, audio-visual equipment, speakers, content, track management, briefings, exhibitors and accommodation. Always be thinking ahead to later sessions in the day or evening.</p>

<h5>Contingency plans</h5>
<p>The nature of the industry means things can happen that are out of your control. When this happens ensure you manage all stakeholders appropriately and that you have steps in place to communicate any necessary changes as efficiently as possible. Explain the situation, minimising the impact, to your client and the delegates. Remember your role is to service to your client at all times even more so when things change. The way you handle these changes can impact on your client’s business in a positive or negative way – be prepared!</p>

<h5>Evaluate</h5>
<p>Always have a meeting after the event to review any feedback that has been gathered and ensure you are aware of any improvements that can be made. Remember these improvements can be used to improve all your future events not just for this client.</p>

<p>Identify and agree what your client wants to achieve from holding the conference. Establishing this at the outset allows you to fulfil their requirements and ultimately, ensures you create an event that ticks all the right boxes.</p>

<p>Make sure you don’t halve your attendance by not identifying factors that may affect your numbers;</p>
<ul>
<li>School Holidays</li>
<li>Other Industry Conference or Seminar</li>
<li>Trade events</li>
<li>Public Holidays</li>
<li>Days of the week also impact on travel costs</li>
</ul>
<h5>First Impressions</h5>
<p>When delegates arrive at your chosen venue, looks definitely count! Your venue selection represents your client so ensuring this aspect is correct, is paramount. Take into account the overall layout of the venue, its conferencing facilities, bedrooms, outdoor space and leisure facilities. Don’t forget to ensure that the staff at the venue are of a standard that will make your event a pleasure to be in, from start to finish. Always carry out a site visit, pictures and reviews can be very misleading!</p>
<h5>Communication is vital</h5>

Arrange regular meetings both face-to-face and also over the phone. A marketing plan is the perfect way to communicate progress and deadlines. This will ensure that all parties know what is expected of them in a professional and uncomplicated way.</p>
<h5>Hidden agenda</h5>
<p>Without an agenda, your conference has no structure. The earlier you draw this up, the earlier you’ll able to complete a number of tasks including:-</p>

<li>Managing your timings with your venue, crew and speakers</li>
<li>Ensure your delegates are aware of the schedule and topics</li>
<li>Lastly having a record will help you tohave varied content in your future conferences</li>
